How to export your data from Pipedrive: deals, people, organizations and activities

Pipedrive exports each data type separately, to Excel or CSV, from one place in its settings. This guide shows the exports to run, who may run them, and what to export separately so nothing is lost.

  • Deals
  • People
  • Organizations
  • Leads
  • Activities
  • Notes
  • Products
  • Custom fields

Before you start

  • Global admins can export every data type. Regular users can export when their permission set allows it.
  • An export contains only the data you can see. Run the move export as a global admin so nobody's deals are missing.

Export each data type

  1. Open the account menu at the top right, then Tools and apps, then Export data.
  2. Choose a data type: Deals, People, Organizations, Leads, Activities, Notes or Products.
  3. Choose the full list where you are offered a choice (for example all deals, not only deals with participants; for leads, all leads including archived ones).
  4. Choose Excel or CSV and click Export.
  5. Download the file from Generated exports, with the cloud icon in the Available until column. Files stay there for 28 days.
  6. Repeat for every data type you need. Deals, people, organizations and activities at least.

Keep your custom fields understandable

  1. Open Personal preferences, then Data fields, and use the export icon.
  2. You get the list of fields with their type and whether they are custom, and a second file with the options of each choice field.
  3. Keep both files next to your exports: they explain what each column means.

Other exports

  • A filtered list: in the list view, apply a filter, choose the columns with the gear icon, then ... and Export filter results. The deal list can combine deal, person and organization fields in one file.
  • One deal: on the deal, ... then Export as XLSX, with its person and organization.

What the exports leave out

  • Files stored in Google Drive are not exported; their links only work for admins.
  • Linked records: exports name each record's linked organization, person or deal. Check in your own file whether it shows names, IDs or both before you rely on it.

Troubleshooting

  • You closed the download prompt: the file is still under Tools and apps, Export data, Generated exports.
  • Records are missing: you may not see them. Ask a global admin to run the export.
  • Accents look wrong in Excel: choose the Excel format, or see Excel and CSV.

Moving to EVORIV?

What EVORIV does with these files

Drop the CSV or Excel files in together, as they are. EVORIV recognises what each file holds, connects the records to each other and asks only what it cannot safely work out. You review everything before anything is imported.

Imported

  • Companies
  • Contacts
  • Leads
  • Opportunities (deals)
  • Activities (calls, meetings, emails, notes)
  • Tasks

Files

  • CSV (comma or semicolon, UTF-8 or Windows-1252)
  • Excel (.xlsx)
  • Several files at once, in any order, or a .zip of them

Not imported

  • Support tickets and their conversation history
  • Email attachments and uploaded files
  • Users, permissions and workflows of the old tool
A real import in EVORIV: five CSV exports from an old CRM become a working pipeline, recorded in the product.
